Use the Unpublished Items Report

After editing a page, you can check for unpublished items in the page by using the Unpublished Items Report. The report highlights items that will not be displayed as intended because they have not been approved and published, or are otherwise unavailable for viewing.

Run the Unpublished Items Report

There are two ways to run the Unpublished Items Report.

  • After you submit a changed page for approval, click the Reminder: Check for Unpublished Items link just below the editing toolbar.

     Note    This option is only available while approval is pending. After a page has been approved, the Reminder: Check for Unpublished Items link no longer appears.

  • With the page in edit mode (but not while editing page content), click the Tools menu on the Page Editing toolbar, and then click Check for Unpublished Items.

After the Unpublished Items Report is finished running, items on the page that are unpublished appear with a dashed red or orange border. Items that have a red border appear as broken links if the page is published in its current state. Items that are orange are not broken, but may show outdated information.

 Note    The Unpublished Items Report does not check the validity of links to resources that are external to your site collection. For example, if your page contains a link to a Web site that is not part of your site collection, that link is not verified as part of the Unpublished Items Report.

Resolve issues on the Unpublished Items Report

When the Unpublished Items Report is finished running, if unpublished items are detected, the following message appears just below the Editing toolbar:

Unpublished items are detected on the page. View the full report in a new window.

You can view the Unpublished Items Report by clicking the full report link.

On the full report, the items are broken down into categories, such as Images or Reusable Content.

Each item on the report consists of an Issue Type and a hyperlink. The Issue Type can be read at a glance to determine the nature of the problem with that item. You can click the Issue Type to view a more detailed description. You can also use the following legend to interpret each Issue Type in the report.

  • Broken link alert This indicates a problem that prevents the item from being displayed to page viewers. This image appears in front of problem items that produces a broken link on the rendered page.
  • Yellow alertThis indicates a problem that prevents page viewers from seeing the most recent version of the item. This image appears in front of problem items that may contain outdated content.
  • Not Published   This indicates that the item has been approved, but is scheduled to be published in the future. Page viewers cannot see the item until after the item is published. To fix this error, you can either wait for the item to be published, or you can arrange for the item to be published sooner.
  • Old Version   This indicates that the most recent version of the item has not been approved. The item may not have been submitted for approval, may be pending, or may have been rejected. Page viewers see the existing, published version of the item. This may or may not be a problem. Review the published version of the item to determine whether it is the version that you want page viewers to see.
  • Not Approved   This indicates that the item has not been approved. The item may not have been submitted for approval, may be pending, or may have been rejected. Page viewers see a broken link.

    If you have not submitted an item for approval, you might have the item checked out. You need to check the item in before it can be approved.

    If an item is pending, you can either wait for approval, or you can contact the person who is considering approving the item and ask that he or she approve it. If you have Approver privileges, you can approve the item. The approval process is different for different item types.

    Approve an item that is a Web page

    1. On the Unpublished Items Report, click the URL for the item.
    2. On the resulting page, click the Approve/Reject Item link, found on the toolbar near the top of the page.
    3. On the Approve/Reject page, in the Approval Status section, click Approved. You can optionally type comments in the Comment box.
    4. To approve the page, click OK.

    Approve a Web page that has not been submitted for approval

    If the Web page that you want approved has not been submitted for approval, and you were the last person to edit the page, you may need to check in that page by doing the following.

    1. Click the URL for the item.
    2. On the resulting page, click the Check In link found on the toolbar near the top of the page.
    3. On the Check In page, you can choose whether to check the page in as a minor version or a major version. Minor versions cannot be published. If you want to submit the page for approval, you must check in a major version.
    4. If you do not have Approver privileges, you can either wait for the page to be approved or you can contact the person who is considering approving the page and ask that they approve it.

      If you do have Approver privileges, the Approve/Reject Item link appears on the toolbar. You can approve the page by using the preceding procedure, starting at step 2.

    If checking in the page did not submit it for approval, you can manually submit it for approval by using the following procedure.

    1. With the new or changed Web page open in your Web browser, click Submit for Approval on the Page Editing toolbar.

       Note    If the Page Editing toolbar is not visible, on the Site Actions menu, click Show Page Editing Toolbar.

  • Not Found   This indicates that the item cannot be found or is inaccessible. Page viewers see a broken link. The item may have been deleted or may not have been created. You can edit the item to change the object that it points to. You need to check in that item, and then submit it for approval.

     Note    The URL for an item that is not found does not provide any means of editing the item. Clicking the URL produces a 404 NOT FOUND error.
